
The board will attempt to post the agenda for each board meeting on the web site by the Sunday preceding the meeting. When the agenda is posted an email will be sent to the church email list notifying everyone that the agenda has been posted.
When decisions with a direct and substantial impact on one or more specific committees are anticipated, the board will make an effort to contact the committee chair(s) and/or other committee members before the board meeting at which said decision is to be considered. Similarly, when substantive decisions which may impact UUCSC staff are anticipated, the staff member(s) should be contacted in advance of the board meeting.
After the agenda is posted each month, committee and task force chairs should check it to determine whether any business concerning their committees is to be discussed. Where appropriate, committee chairs should either communicate their concerns to the board or minister before the board meeting or else attend the meeting. Committee chairs should make an effort to ensure that committee members and others are informed of relevant issues in a timely manner.
After each board meeting, the draft minutes will be emailed to all committee chairs within a week of the time that they are emailed to the board members. (The delay is to allow board members to note any corrections that should be made before sending the minutes to a wider audience. However, the minutes will not be officially amended and approved until the following month's board meeting.)
